The Event
Due to the COVID-19 pandemic pivoting quickly to a virtual format from a face-to-face (F2F) investigator meeting format.
The Challenge
- Develop a solution for a biotech team that would train/energize healthcare professionals (HCPs) selected for a specific therapeutic area to continue the research work needed to be done for a Phase III study.
- Maintain a strong level of engagement with the HCPs in a virtual event format.
The Highlights
- Quickly leveraged MTA’s existing products, services and 10+year of virtual planning experience to transform the planned investigator meeting (IM) into a virtual-hybrid solution to keep the study timeline on track while meeting client goals and objectives.
- Produced a virtual event with consistent, engaging training and motivation for the HCPs.
- Developed a strategy to further maximize impact through a unique hybrid experience.
- Leveraged MTA’s Virtual Assessment Learning & Training Source (VALTsTM) product to provide targeted training to the audience in advance of the virtual meeting, allowing the client to monitor progress of training in real-time. VALTs is built to comply with 21 CFR Part 11 records and e-signature features.
- Designed a 4-hour virtual portion of event to include live polling, break-out rooms, feedback modules, and other features to purposefully engage virtual audiences.
- Provided professionally recorded and edited presentations to include within VALTs on-demand training to be used as a reference and to be repurposed to new site staff ensuring consistent training and 100% compliance throughout the life of the study.
- A hybrid investigator meeting will be planned for both a face-to-face (F2F) and a virtual audience post the COVID-19 crisis. The focus of the hybrid meeting is relationship building, site engagement, and highlighting a panel of study coordinators from high-enrolling sites to discuss their best practices. Both audiences will feel unique and able to enjoy the same experiences.
- The previously approved F2F budget decreased by 25% and still allowed for an on-going Learning Management System (VALTs), one engaging virtual meeting plus one hybrid event in the future.
